Creating Your First Invoice

6 min readGetting Started

Introduction

Invoicing is one of the most-used modules in Liburion ERP. This guide walks you through creating your first invoice, from adding a customer record to sending the final PDF.

1. Add a Customer

Before creating an invoice, you need at least one customer record. Navigate to Sales > Customers and click 'New Customer'. Enter their name, email, billing address, and tax ID if applicable.

You can also import customers in bulk from a CSV file. Go to Sales > Customers > Import and follow the mapping wizard.

Tip: If the customer already exists from a previous quote or sales order, they'll be auto-suggested when you start typing their name in the invoice form.

2. Create the Invoice

Go to Accounting > Invoices and click 'New Invoice'. Select the customer, and the billing details will auto-populate. Set the invoice date and payment due date.

Add line items by searching for products or services from your catalog. Each line includes quantity, unit price, discount, and tax. The totals update automatically.

Add any notes or payment instructions in the footer section. These appear on the printed/PDF version of the invoice.

3. Review & Send

Click 'Preview' to see how the invoice will look to your customer. Check all details — customer name, amounts, tax calculations, and your bank details.

When ready, click 'Confirm' to finalize the invoice. This assigns an invoice number and posts the accounting journal entry. Then click 'Send by Email' to deliver it directly to your customer's inbox.

The customer receives a professional email with a PDF attachment and an optional payment link if you've configured online payments.

4. Track Payment

Once sent, the invoice status changes to 'Sent'. When the customer pays, record the payment by clicking 'Register Payment'. Select the payment method and amount.

If you've enabled online payments (Stripe, PayPal), payments are recorded automatically when the customer pays through the invoice link.

Overdue invoices are highlighted in red on the Invoices list. You can configure automatic payment reminders from Settings > Accounting > Reminders.

Tip: Set up automated payment reminders at 7, 14, and 30 days overdue. Most customers respond to the first reminder, improving your cash flow significantly.
